Local procedures and policies for cataloging maps.

Original Cataloging

I.            Manuscript Maps

 Fixed field, “Type”

  • f = Manuscript cartographic material

 Fixed field, “SpFm” – Special format characteristics

  • e = Manuscript

 260 field (publication information)

  • No place of publication or publisher ; Date of publication = date of map
  • If date is in title, do not enter in 260

 300 field (physical description)

  • Enter “ms.” in $b, in addition to any additional physical attributes
  • Example: 1 map : $b ms., mounted on linen

 500 fields

  • Enter “Ms.” along with any additional information regarding production method or information unique to the item.
  • Example: Ms., ink on parchment, signed by author

 

 II.            Original Cataloging

 

In addition to the fields listed in Editing the Record, these fields should be added or further edited when creating an original record. Additional information is also provided.

 

FF       ELvl (Encoding Level)

The degree of completeness of the MARC record.

 

            I = Full level input by OCLC participants

            K = Less-than-full input by OCLC participants

 

FF       Srce (Cataloging Source)

Use to indicate the original cataloging source of the record.

 

            d = Other

 

FF       Ctrl (Type of control)

Archival control status

 

            [blank] = No specific type of control

 

FF       BLvl (Bibliographic Level)

The relationship between the item being cataloged and its constituent parts. The most commonly used codes are:

 

            m = Monograph/Item

            s = Serial

 

FF       Form (Form of Item)

The form of material being described. The most commonly used codes are:

 

            [blank] = None

            r = Regular print reproduction

            s = electronic

 

FF       GPub (Government Publication)

Whether the item is a government publication and establishes the jurisdictional level of the issuing body. The most commonly used codes are:

 

            [blank] = not a government publication

f = Federal/National

            l = Local

            s = State, etc.

 

FF       SpFm (Special Format Characteristics)

The special format characteristics of a map. Enter one or two, one-character codes. Enter codes in order of importance. The most commonly used codes are:

 

            [blank] = No specified special format characteristics

            e = manuscript

 

FF       MRec (Modified Record)

Whether bibliographic information was modified for entry into machine-readable form.

 

            [blank] = Not modified

 

FF       Desc (Descriptive Cataloging Form)

The form of descriptive cataloging; that is, whether the item has been cataloged according to the provisions of International Standard Bibliographic Description (ISBD).

 

            a = AACR2

 

041      Language Code

The codes for the languages associated with an item when the fixed-field element “Lang” is insufficient to convey full information for a multilingual item or for an item that involves translation. See the list online of language codes.

 

First Indicator:

            0 = Item not a translation/does not include a translation

            1 = Item is or includes a translation 

Second indicator is blank.

300      Physical Description

Extent of item (subfield a):

Follow the rule of predominance in Cartographic Materials, Rule 1G5, application, page 1-35: “Determine predominance on the basis of publisher’s preference as indicated by: relative size and scale of the parts; placement or prominence of the title information; arrangement of the constituent parts, ancillary maps, etc.; or the relationship between primary and supplementary or ancillary maps.”

 

Exception: For CommunityLink maps, the number of maps in the description will be based on the geographic coverage noted in the 245 field.

 

Other physical details (subfield b):

“An item that was printed, engraved, photographed, etc., and was colored before it was issued is hand colored, since all maps in a particular issue were altered in the same way. An item that was issued and was then colored in a manner unique to the copy, usually for the owner’s use, is annotated.” (Library of Congress. Map Cataloging Manual, p. 2.15.)
